NetBuddy Privacy Policy

This Privacy Policy explains how NetBuddy collects, uses, stores, and protects information when users access app.netbuddy.ai and related NetBuddy services.

NetBuddy provides PDF tools, image tools, cloud storage features, and E-Sign workflows. We design the service around private file handling, temporary free-user results, private paid-user storage, and account ownership checks before downloads.

1. Information We Collect

Account information: when you create an account, we may collect your name, email address, password hash, account status, email verification status, plan type, and basic account activity.

File and job information: when you use NetBuddy tools, we process uploaded files, output files, job type, job status, file names, file sizes, timestamps, and related download records.

E-Sign information: when you use E-Sign features, we may collect sender details, signer email address, signer name, signing request status, one-time verification events, timestamps, signature placement data, audit trail events, and the signed document output.

Payment and plan information: when paid plans are enabled, we may store plan selection, invoice status, billing cycle, payment status, and related account limits. Full payment card details should be handled by the payment provider once payment gateway integration is active.

Technical information: we may collect IP address, browser type, device information, log records, error reports, security events, and usage activity needed to operate and protect the service.

2. How We Use Information

To provide PDF, image, document conversion, storage, and E-Sign services.

To create and manage user accounts, login sessions, email verification, password reset, and dashboard access.

To process uploaded files and generate downloadable results.

To send service emails, including verification emails, password reset emails, E-Sign emails, one-time codes, and account notices.

To enforce plan limits, upload limits, storage limits, job limits, and abuse prevention controls.

To improve reliability, debug errors, secure the service, prevent fraud, and maintain backups.

3. Uploaded Files and Generated Files

Files are processed only for the workflow selected by the user, such as merge, split, compress, convert, sign, redact, image processing, or E-Sign.

Free account results are temporary and may be automatically deleted after the expiry period shown in the service.

Paid account files may be stored in private cloud storage according to the user plan and storage limits.

We do not intentionally make user files public. File downloads should require private, account-owned, or time-limited access controls.

Users should only upload files they own or have permission to process.

4. E-Sign and Audit Trails

E-Sign features may record signer email, sender name, document name, signing status, one-time code activity, viewed events, signed events, timestamps, and signature placement details.

Audit trails are created to help show the history of a signing request.

E-Sign emails are sent to the signer email provided by the sender. The sender is responsible for entering the correct signer details.

5. Email Communications

We may send transactional emails from NetBuddy addresses, including account confirmation, password reset, job notices, E-Sign invitations, one-time codes, reminders, and service updates.

If an email does not arrive, users should check spam or junk folders and mark NetBuddy emails as not spam.

6. Cookies and Local Storage

NetBuddy may use browser storage, cookies, or local storage to keep users logged in, remember session state, and support normal app functionality.

Some technical storage is necessary for authentication, security, and account dashboard access.

If advertising is enabled for free users in the future, advertising partners may use cookies or similar technologies according to their own privacy terms.

7. How We Share Information

We do not sell personal information.

We may share limited information with service providers needed to operate the app, such as cloud hosting, cloud storage, email delivery, payment processing, security monitoring, and analytics.

We may disclose information if required by law, legal process, fraud prevention, security investigation, or to protect the rights and safety of NetBuddy, users, or others.

8. Data Security

We use reasonable technical and organizational measures to protect accounts, files, and service data.

These measures may include HTTPS, access controls, private storage paths, password hashing, server-side permissions, restricted service credentials, and operational backups.

No online service can guarantee absolute security. Users should use strong passwords and keep account credentials private.

9. Data Retention

Free temporary files may be deleted automatically after their expiry period.

Paid stored files may remain available while the account is active and within plan limits, unless deleted by the user or removed under this policy.

Account, invoice, audit, security, and operational records may be kept as long as needed for service operation, legal obligations, dispute resolution, fraud prevention, and backups.

Backups may retain data for a limited period before automatic rotation or deletion.

10. User Choices and Requests

Users may update account details, delete available files, download available results, or contact us for help with privacy requests.

You may request access, correction, deletion, or restriction of personal information by emailing contact@netbuddy.ai.

Some data may need to be retained where required for security, legal, billing, backup, or legitimate operational reasons.

11. International Processing

NetBuddy may process and store information on servers, cloud services, or service providers located in different countries.

By using the service, you understand that your information may be processed where NetBuddy or its service providers operate.

12. Children

NetBuddy is not intended for children under 13 years old.

If we learn that a child under 13 has provided personal information, we will take reasonable steps to delete it.

13. Changes to This Policy

We may update this Privacy Policy as the service changes.

When we make material changes, we may update the effective date, post the revised policy, or provide additional notice where appropriate.
